Payment & Deposit Policy
Payment is due prior to reservation time. Space on White accepts cash, major credit cards. (Personal and company checks are acceptable with management approval).
There is a $35.00 fee for any returned checks plus the check amount.
Late fees will be assessed on late payments.
A 25% deposit is required to hold the space and is refundable within our cancellation policy. A reservation isn’t guaranteed until a deposit is secured.
If the booking is $20.00 or less, we require a full payment in advance. All payments are refundable within our cancellation policy.
Cancellation Policy
Space must be canceled on time in order to receive credit or deposit refunds and not to be charged in full. Bookings with several reservations are independently cancelable. Reservations that occur at the same time across multiple spaces stack.
- 24 hours minimum is required for bookings from 1-3 hours.72 hours minimum is required for bookings lasting 3.5-8 hours.
- 7 days notice is required for bookings lasting 8-12 hours.
- All cancellations and refunds must be confirmed and recorded by management for approval.
If a cancelled booking is $300.00 or more and made within our cancellation policy, Space on White will hold 10% of the overall cost and refund or credit the remainder. If a cancelled booking is a Tier 2 Event of 3 or more hours, Space on White will hold 15% of the overall cost and refund or credit the remainder.
If ANY booking is cancelled outside of our cancellation policy you will be charged the full amount.
Procedure Policies
At the time of booking, the Client may designate a Point Person as an accountable and responsible representative to Space on White for the duration of the rental. The “Point Person” and “Client” are used interchangeably within the terms of the Procedure Policies.
There is to be no client or guest loitering or entering undesignated areas during rental time.
The door to the Space(s) used must remain closed during the duration rentals.
All persons entering the building must respect established fire regulation and other regulations imposed by the building and/or government bodies.
There shall be absolutely no loitering outside Space on White entrance before or after space use. There is NO SMOKING in front of the Space on White building. Client renting the space must be responsible for informing all guests that they must cross the street to smoke!
No food or drinks are allowed on the pianos or in Space 4.
All tables, chairs and rehearsal furniture used must be returned to its proper holding area at the end of rental period. All clients are responsible for setting up and breaking down all equipment within their allotted time of space use.
All Space on White inventory used must be returned in working condition with all parts intact.
All rooms must be vacated on time. Failure to vacate on time and / or breakdown used materials will result in fines.
Amplification of music, live percussion, use of special electrical equipment or hanging any item on any wall with any method must be cleared with management prior to use of space. All approved music must be turned off at 10pm NO EXCEPTIONS.
Noise as well as foot traffic in the lobby areas need to be monitored during the duration of rentals by the Client. In some cases, rentals require a stationed monitor.
Hallways and lobbies may NOT be used for rehearsals, meetings, or as a play-space.
Caregivers for children must be present to supervise at all times.
All persons must check for personal items prior to leaving the space. Space on White is not responsible for lost or damaged items.
In case of emergencies, Space on White will work with the Client’s Point Person to vacate the Space or to contact appropriate medical personnel.
Space on White reserves the following:
- The right to move clients to an equal or larger studio if the reserved space is needed for special use or equipment.
- The right to hold and charge Credit Cards for overages, hanging, damages or for the purposes of a deposit.
- The right to charge for non-reserved but used Space(s) and / or unauthorized Tier Change(s).
- The right to charge for a booking in full if the reservation is made outside of the Cancellation Policy.
- The right to implement elevated Policies for repeat cancelers and repeat late payment offenders.
- The right to charge for additional staffing when appropriate.
- The right to terminate occupancy immediately if any representative or member of client group should violate any items on this agreement
Agreement is between Space on White and Client Representative and / or Point Person. The Client Representatives takes full responsibility for all working within Client Company.
